DVR Service Provider - Portal Electronic Invoicing Guide

Key Roles

  • Invoicer: Must be marked on the personnel profile to be able to create, edit, and submit electronic invoices.
  • Main contact and administrator: Can view invoices in read-only mode without the Invoicer role.
  • Reminder: Always click Save after making changes. The Service Provider Portal does not autosave.

Purchase Order Summary Page – Request Invoicing

  • For internal provider use only.
  • Used to notify the Invoicer that a purchase order is ready for invoicing.
  • Does not generate an invoice; instead, it creates an alert to the Invoicer.

Creating an Invoice

There are two ways to create an invoice in the DVR Service Provider Portal:

  1. From a Purchase Order Summary Page
    1. Search for the purchase order, or use the invoice requested alert to navigate directly to it.
    2. Select the appropriate line(s) to invoice.
    3. Click Create Invoice for Selected Line(s).
    4. On the General Information tab, enter:
      • Invoice number (use the clipboard icon to copy the number into Remittance Advice).
      • Date started
      • Remittance Advice (for your records only; appears on your check).
    5. On the Invoice Lines tab, enter:
      • Quantity (required to save).
      • Service start date and service end date (required before submission).
    6. Click Save. The invoice status updates to Draft – In Process.

      Adding Additional Purchase Order Lines

      1. On the Invoice Lines tab, click Import Order Lines.
      2. All active and inactive purchase orders available to the agency will load.
      3. Use Check All/Uncheck All to toggle the display of order lines.
      4. Select the desired lines and click Import Selected Order Line(s).
      5. Enter the invoice quantity (required) and service dates (optional until submission).

      Submitting to DVR

      1. On the General Information tab, check the required certification statement.
      2. Confirm the vendor FEIN and address.
      3. Click Submit to DVR (do not click Save at this point).
      4. The invoice status updates to Submitted to DVR and becomes read-only.
  2. From a DVR Consumer Search
    1. Perform a DVR consumer search.
    2. Follow the steps as above, starting from the Import Order Lines.

    Additional Features

    • Invoice search: Search by status, invoice number, or order number. You can also view invoices from the Invoices tab of a purchase order summary.
    • Draft – In Process:
      • Use Fill Selected as Ordered to auto-fill remaining quantities.
      • Use Delete Selected Invoice Lines to remove lines. At least one line must remain on a draft. If not, void the invoice or wait until another line is available.
    • Automatic Reductions: Once submitted, remaining quantities and totals are updated. If no quantity remains, the checkbox is disabled.
    • Receipt attachments:
      1. Upload the receipt to the Consumer Summary – Attachments tab.
      2. On the Invoice Lines tab, click Associate Attachment.
      3. Select the correct file and click Share.
